Fees Summary

Below is a summary of our fees for our standard services. If your requirements aren't covered entirely by our standard services, we may still be able to help; please contact us with details of your requirements, or request a quotation.

Payment and Approval

Deposit

Once you commision us to perform one or more of our services, and accept our quotation, we will normally require you to pay a deposit before we start work on your project. In the absence of intermediate stage payments (see below), this will be 50% of our total one-off (i.e. non-recurring) service fees. Under certain circumstances, such as for small editorial projects from regular customers, we may at our discretion waive our normal deposit requirement altogether

Recurring Fees

Where you commission us to perform an ongoing service, with fees associated with intervals of time, such as our website management and hosting service, then we will require payment annually in advance.

Third Party Fees

Where our work on your project requires us to pay any fees to third parties on your behalf, we will require you to pay us 100% of such fees before we incur them. These fees will be added to your initial deposit or the nearest stage payment prior their occurrence.

Stage Payments

If we expect our work on your project, in total for all of our non-recurring services, to take 6 weeks or less, then we will require payment from you in only 2 stages: initial deposit and final completion. Most projects will fall into this category. If, however, we expect our work to take longer than this, then we will normally require one or more intermediate stage payments, arranged to occur at 3-5 week intervals and typically at natural breaks in the project, such as a feed-forward from one of our services to another, where we have produced subsets or preliminary versions of our work that you can examine and approve. Where subsequent work on your project depends on the work we have supplied to you for approval, we will not proceed with such work until we have received your approval and payment. We will, however, try to arrange the sequence of work on your project so that there is other work to continue with while we are waiting for your response.

The payment required at each stage will be the remainder of fees due for the work completed so far, plus 50% of the fees for the work to be done in the following stage. This includes the initial deposit stage, which will be for 50% of the fees for the first stage instead of 50% of the total fees.

Final Approval

Once we have completed all of the non-recurring elements of our services to you, we will supply you with appropriate copies of our work for your approval. You should then carefully check our work to ensure that it contains no errors, and meets your requirements. We will correct any errors against your original requirements free of charge. However, if you now require something different, we will be happy to accommodate your changes, but will charge you extra for the additional work involved - we will provide you with a quotation, and will only proceed with your changes once you have accepted the revised fees. Once you are satisfied with our work, you then pay the remainder of our fees. This correction process also applies to any intermediate approval stages.

Notes:

  1. Fees for our Implementation Service for your basic page layout designs depend on their complexity – how the page is divided into sections and how those sections respond to changes in browser window size – and the degree to which they share design features. Please specify this when requesting a quotation.
  2. Fees for our Testing Service depend heavily on the complexity of your pages, and in particular on the number of links and input controls on each page. Please specify this when requesting a quotation.

Where fees are charged on a periodic basis, you will be required to pay them annually in advance. Some domain name types also have to be rented for two or more years in one go, payable in advance.

Location Administration Fee

Our fees for the shoot itself are based on the time taken, rather than the number of pictures, together with the travelling costs of getting to and from the required location. The length and/or timing of the shoot may also require one or more overnight stays, which will be charged at our standard rate (see below). Should the shoot take longer than expected, then we may charge you for the additional time if the cause of the delay is beyond our control: if the delay is due to a third party, then we will charge you at 50% of our standard rate; if the delay is due to you changing your requirements, or due to you not supplying the subject(s) for the photos at the appropriate time, then we will charge you at our standard rate.

General Fees

The following fees apply to some or all of our other services, under certain circumstances.

Order Handling Fee

If the total fees for your order, excluding third party fees and before the application of this charge, amount to less than £100, then the following additional fee will apply, to cover our time handling the adminstration of your order. This fee also applies where you require us to produce additional copies of our work after the original project has been completed.

Travelling Fee

If you require us to attend one or more face-to-face meetings during the course of a project, or travel to a photo shoot for our photography service, the following fees will apply, to cover our travelling and subsistence costs:

Quotation Details

Please supply us with as much detail as possible about your requirements, together with an indication of their likelihood for change, when you request a quotation for any of our services. If you do not do this we will either have to request more detail or clarification from you, delaying your quotation, or build a margin for doubt/change into our quotation, increasing the cost of our services to you.

Once we have provided you with a quotation for our work, the quoted fee will be firm and fixed; if we take more or less time than expected to perform your requested service, the price you pay will not change, unless you change your requirements in a way that significantly affects the amount of work we have to do - or undo if you change something we have already done.

Aardstorm is not currently registered for VAT, and therefore cannot charge VAT. Once we are registered, the fees above will be the VAT exclusive rates.
